Pediatric physician practices spend hours each week managing their patient’s vaccine inventory. Counting, ordering, verifying temperatures and expiration dates. Many adult physicians choose to not stock vaccines at all because of the labor-intensive protocol and expense. This means they can’t help protect their patients and community from vaccine-preventable diseases at the time that is most convenient — when their patients are in their office.
TruMed Systems founders, senior healthcare executives, understood the industry’s challenge of managing a successful vaccine and inventory system. They came to DDSTUDIO to design and develop AccuVax. The first of its kind automated, cloud connected, HIPAA compliant, compact vaccine management system solution.
TruMed products are purpose-built to reduce cost and improve outcomes within healthcare by creating innovative, efficient, effective point-of-care supply management systems.
TruMed engaged DDSTUDIO to design + develop the first and second generation AccuVax System. They wanted a design that fit into the flow of the physician’s practices: both in the flow and in the esthetic. We partnered with D&K Engineering for the second generation design + development to improve internal functionality and reduce the cost of manufacturing.
Journey Maps – Before + After
Applying our design thinking approach, our first step was to create a journey map to document physician office work flows. Aided by experts and observations, we mapped the numerous tasks physicians and nurses perform to understand how and when vaccine administration and management fit into their busy schedules.
We highlighted tasks that could be streamlined or eliminated with an automation system. These maps helped us optimize task allocation between users and the system, and became the initial UX/UI flow.
Usability/ Human Factors Research
We built a range of hardware and software prototypes for usability studies with nurses from varied size pediatric and family practice offices.
Learnings Applied
Informed and inspired by the user feedback, we applied the learnings to the design. We modified form height and surfaces for workflow efficiency, sourced technology for barcode scanning and fingerprint login. We defined screen areas for optimum usability and reduced cognitive load. Most importantly, we designed and developed the hardware and software in tandem, ensuring a cohesive user experience.
The simple function and compact form factor fits easily into the physician’s medical office. Success will put vaccines in more practices, making them conveniently available to more patients, thereby increasing the effectiveness of vaccination programs overall.
TruMed’s AccuVax is a cloud-connected, computerized fully HIPPA-compliant point-of-care vaccine management system that automates many of the tasks with properly storing, rotating, reporting and ordering vaccines. It helps physicians securely, easily and cost-effectively dispense vaccines.
